Speed to lead

Speed to lead: reply to every new lead in seconds, while they're still deciding.

Someone fills in your form at 2pm while your team is on a job. Our system replies in seconds with a real answer to what they asked, asks the questions you'd ask, and books them in. Your team picks it up with the full context.

What is speed to lead?

Speed to lead is the time between someone showing interest (filling in a form, calling, sending a message) and your first real reply. Not an auto-reply that says "thanks, we'll be in touch". A reply that moves them toward a booked call or job.

It matters because the person who just inquired is usually asking more than one business at the same time. The one that answers properly first tends to get the conversation.

The research

Why the first hour decides most deals

The best-known research on this comes from Harvard Business Review. In 2011 its researchers sent test inquiries to 2,241 US companies and measured how long each took to respond.

Companies that replied within an hour were nearly seven times as likely to have a real conversation with the decision-maker as companies that replied even an hour later.

Two other figures get quoted a lot. The MIT and InsideSales lead response study found leads contacted within five minutes were 21 times more likely to be qualified than leads contacted after 30 minutes. And Velocify, looking at 3.5 million leads, reported a 391% higher conversion rate when the call happened within the first minute.

The exact numbers vary by industry. The direction never does: slower replies lose deals you've already paid to generate.

Our research

What we found in 13,302 job posts

We analyzed 13,302 job posts from businesses asking for automation help, plus 61 of our own sales calls, to see which problems actually cost businesses money. The biggest group by far was sales getting stuck between someone showing interest and that person paying: leads not answered, inquiries not turned into bookings, quotes not chased, deals going quiet.

Slow lead response is one of those leaks. It's rarely the only one, which is why we look at the whole path from first inquiry to paid job before deciding what to build.

Look before you build

Speed alone isn't the fix

A fast reply that says nothing useful just tells the lead nobody's home. The reply has to answer their question and give them a clear next step.

And sometimes slow replies aren't the leak. Koda, a plastic surgery clinic, had paid two agencies to build after-hours AI because everyone assumed late replies were losing patients. The data showed the leads they won and the leads they lost arrived after hours at almost the same rate (64% and 63%). The real problem was two coordinators who couldn't keep up with daytime calls. We check your data before building, so you fix the leak you actually have.

The build

How a build goes

  1. 1
We pull your last few months of leads and measure your real response time, by hour and by source.
  2. 2
We write the replies and qualifying questions with your team.
  3. 3
We connect it to your forms, phone, calendar and CRM.
  4. 4
We test it on real lead scenarios before it goes live.
  5. 5
From week one you can see your response time, show rate and where every lead goes, and we tune it from there.

Texting rules in the US and UK

In the US, business text messages need the sending number registered with the carriers, and the rules on consent apply. In the UK, the privacy and electronic marketing rules work differently. We set everything up for the country you operate in, so your messages get delivered and stay compliant.

Questions

About speed to lead.

It's how quickly you make real contact with a new lead after they inquire. The shorter it is, the more of your leads turn into conversations.

As fast as you possibly can, ideally within minutes. Harvard Business Review found companies replying within an hour were nearly seven times as likely to qualify the lead as those replying an hour later. Our system replies in seconds.

Yes, especially if you pay for leads or your customers ask several businesses at once. A lead that gets no reply for hours has usually spoken to someone else by then.

It comes from the MIT and InsideSales research: leads contacted within five minutes were far more likely to be qualified than leads contacted after 30 minutes. In practice it means treating a new lead like a ringing phone.

No. An autoresponder confirms you got the message. Speed to lead is about answering it: replying to what they asked and getting them booked.

They're written with your team, in your tone, and they answer the specific question the lead asked. Anything unusual gets handed to a person.

No. We connect to the CRM you already use.
