Lead follow-up

Automated lead follow-up that keeps going until they book, or tell you no.

A lot of deals aren't lost to a competitor. They're lost because nobody followed up a third time. Our system follows up on every quiet lead and open quote, answers their replies, books the call and stops the moment they respond.

What it does

What our lead follow-up system does

  • Spots when a lead or quote has gone quiet, based on rules you set
  • Follows up by text and email (and a call, if you want it) with a message that fits where that person is: a new inquiry, a quote that's been sitting, a call they missed
  • Changes the angle each time instead of sending "just checking in" five times
  • Answers their replies, handles common questions and offers real times to book
  • Stops the moment they reply, book or say no, so nobody gets chased after they've answered
  • Hands warm replies to the right person on your team with the full history
  • Keeps longer nurture going for people who aren't ready yet, for sales cycles of three to six months
  • Logs every touch in your CRM, so you can see what was sent and what worked

Our research

Where deals actually get lost

When we analyzed 13,302 job posts from businesses asking for automation help, plus 61 of our own sales calls, the biggest money problem wasn't getting leads. It was everything after: deals going quiet with no next step, quotes that never got chased, inquiries that never became bookings.

"Deal follow-up" was the single largest group of money-linked requests in the whole set, closely followed by booking and quote chasing.

The reason is simple. Following up is the job everyone means to do and nobody has time for. A salesperson with 40 open conversations remembers the five loudest ones.

Follow-up that doesn't feel pushy

The difference between follow-up that works and follow-up that annoys people is relevance. Each message references what they actually asked about or what you quoted them, gives them something useful or an easy next step, and gets shorter as it goes. And when someone says no, it stops for good. Every message sequence is written with your team and approved before it goes live.

What it's built on

At Best People, the same pattern ran their candidate outreach: AI-drafted follow-ups, every one approved by a recruiter, with replies sorted automatically into interested, not interested, neutral and other. It helped them reach 4.5x the capacity without hiring.

The build

How a build goes

  1. 1
We look at your pipeline: how many leads and quotes go quiet, at which stage and after how long.
  2. 2
We write the follow-up sequences with your team, one per situation.
  3. 3
We connect it to your CRM, email, phone and calendar.
  4. 4
We test it on real past leads before it goes live.
  5. 5
You see every message sent and every reply, and we tune the timing and wording from real results.

Texting and email rules in the US and UK

Who you can text or email, and how often, depends on the country and on what the person agreed to when they inquired. In the US, business texts also need a registered sending number. We check your consent records and set the system up for the country you operate in.

Questions

About lead follow-up.

Make every message about them, not you. Reference what they asked about, give one useful thing or one easy next step, and keep it short. Space messages out, change the angle each time and stop as soon as they say no.

Quickly, and about them. Reply while they're still deciding, mention what they asked about or what you quoted, change the angle each time instead of sending "just checking in", and stop the moment they answer. AI lead follow-up does that for every lead, so it doesn't depend on someone remembering the third or fourth message.

Usually more than feels natural. A busy buyer can need several nudges before they get round to replying. Our sequences are built around several touches over a few weeks, with the exact number set for your sales cycle, and they stop the moment someone replies.

One that's short, mentions what they asked about and gives one easy next step. For example: "Hi [Name], it's [Your business]. You asked about [service] last week. We have time on [day] if you'd like to talk it through: [booking link]." Every sequence we build is written with your team, so the wording sounds like you.

Follow-up is getting a specific lead or quote to a decision now. Nurturing is staying in touch with people who aren't ready yet, so you're the first business they think of when they are. Our system does both and moves people between them based on how they respond.

No. It works with the CRM and email you already use.

The opposite. Every message and reply is logged in your CRM, and warm replies go straight to the right person with the full history.
