Database reactivation

Database reactivation: turn the old leads you already paid for into booked calls.

Every lead in your CRM cost money to get. Most of them went quiet, not because they said no, but because nobody followed up at the right moment. We reopen those conversations with AI, handle every reply and book the ones that are ready.

Who it reaches

Who's in a typical database

Each group needs a different message. Someone who no-showed a call needs a different nudge from someone who got a quote a year ago.

  • Inquiries that never booked a call
  • People who booked and didn't show up
  • Quotes and proposals that never got a yes or a no
  • Deals marked closed-lost months ago
  • Past customers who haven't bought again

What is database reactivation?

Database reactivation means going back to people who already showed interest in your business (old inquiries, past no-shows, quotes that never closed, past customers) and starting a new conversation with them.

These people already know who you are, which makes them cheaper to reach than a brand-new lead. Their situation may have changed since they last spoke to you. Many simply got busy.

The campaign

How a reactivation campaign works

  1. 1
We clean and sort your database: removing duplicates, people who asked not to be contacted, and anyone you shouldn't message.
  2. 2
We split it into the groups above and write a message for each, with your team.
  3. 3
We send in small batches, so your team is never flooded with replies.
  4. 4
AI handles the replies: answering questions, re-qualifying and offering times to book.
  5. 5
Warm replies go straight to the right person on your team with the full history.
  6. 6
Anyone who isn't ready now moves into longer-term follow-up instead of being dropped.
Consent and the rules

Do it right, or don't do it

Messaging thousands of old contacts carelessly can damage your sender reputation and your brand, and in some cases break the rules on consent. So before anything is sent, we check what each person agreed to when they first got in touch and what the rules are in your country.

In the US, texting old leads depends on the consent you collected, and business texts need a registered sending number. In the UK, the privacy and electronic marketing rules decide who you can email or text. We'll tell you exactly which parts of your list we can use, and how.

Assumes only 2% book a call, just over half of those turn up, and they close at a lower rate than fresh leads (12%). Your real numbers depend on how old the list is and what consent you have, which we work out on the call.

Questions

About database reactivation.

It's reopening conversations with people already in your database who never bought, or haven't bought in a while, and turning the interested ones into booked calls or sales.

Often, yes. Older leads respond less, but they cost nothing to reach and some have exactly the problem you solve now. We look at the age and quality of your list before recommending anything.

Not if it's done properly. Messages are short, relevant to what each person originally asked about, sent in small batches, and anyone who says no is never contacted again.

It depends on your country and on what each person agreed to when they gave you their details. We check that before sending anything, and only use the parts of your list you're allowed to contact.

Remove duplicates, anyone who asked not to be contacted and anyone you shouldn't message. Then check what each person agreed to when they first got in touch, and split the rest into groups: inquiries that never booked, no-shows, open quotes, closed-lost deals and past customers. That cleanup is the first step of every database reactivation campaign we run.

Setup usually takes two to four weeks, including cleaning the data and writing the messages. Replies start coming in as soon as the first batch goes out.

It helps, but it isn't required. If your leads are in spreadsheets, inboxes or an old system, we can work from those too.

In a 45-minute call we'll look at how your business runs, where your team's time goes and where leads or work are slipping through. You'll leave knowing whether AI is the right fix, and if it is, where to start.
