Medstar Media: three times the clients, same team
- Industry
- content and marketing agency
- What we built
- a content system covering research, briefs and quality checks, after removing the steps that added nothing
- Result
- blog posts from 10 hours to under one, and the same team serving three times the clients. Built in four weeks.

The problem
Every blog post took about 10 hours. With 50 clients each getting one post a month, the team was at capacity, and taking on more clients meant hiring writers, which eats straight into an agency's margins.
What we found
When we mapped the process, nine of those ten hours were legacy research, formatting and review steps. They'd built up over time and nobody had questioned them. They added no value to the finished post.
So the first job wasn't automating anything. It was removing the steps that shouldn't exist.
What we built
With the dead steps gone, we built an AI content system around what was left: research, brief generation and quality control. It ran on n8n and Google Sheets, which was the right call at that size: quick to build and easy for the team to see inside.
As the client list grew, we rebuilt it as a dedicated content studio. Briefs come in from ClickUp, drafts are researched and checked against each client's rules, and then they go to the writers and editors for review.
The result
- A post now takes under an hour instead of 10
- Roughly $160k a year of writer time freed at 50 clients (9 hours saved a post, at a writer rate we've estimated at about $30 an hour)
- The same team can serve 150+ clients instead of 50
- Built and running in four weeks
