How we work: from the first call to AI that runs on its own
No jargon, no big reveal after months of silence. We find the real bottleneck, build the fix in small steps you can see working, and keep it running. Here's exactly what happens.

How an AI automation project works, stage by stage
- 1A discovery call. We learn how your business runs: your team, your tools, your numbers and where you think the bottlenecks are. Then we look at where the data says they are. Sometimes those match. Often they don't. You leave the call knowing whether AI is the right fix, and if it is, where we'd start.
- 2Map and cost the work. If the scope is tight, we go straight to building. If there are several moving parts, we map first: interviewing the people who do the work, mapping every workflow and putting a time and money cost on each manual step. You get a prioritized plan showing what to fix first, what each system will save and what it costs. For businesses doing $1M+ a year, this is Agent OS: the map, the biggest fix built live and the roadmap, with a $100K guarantee.
- 3Build in small phases. We build one focused system at a time. A single system, like a voice agent or a lead follow-up flow, usually takes two to four weeks. A bigger program covering several departments can take three to six months, in phases, so you're using working systems early on.
- 4Your team stays in control. Every system starts with a person approving anything important, like a reply to a customer, a change to a record or a report going out. Usually that's a message in Slack with an approve or edit button. It takes seconds. As a system proves reliable, you decide which checks to remove.
- 5Hand over, or keep building. Every build comes with full documentation, written procedures and walkthrough videos, so your team understands how it works and what to adjust. You get 30 days of support after delivery. If you want us to keep going, there's a retainer. It covers maintenance and priority fixes, adjustments as your business changes, and upgrades to newer AI models as they come out, with a check-in call every two weeks. On the higher tier we keep building down your roadmap, one system after another.
During the build
- We talk at least twice a week, so nothing gets built in a vacuum
- Everything is built inside your own accounts and tools
- We test AI models on your real data and use whichever performs best for each step
- We test every system on real past examples before it touches live work
What you can count on
- You own everything we build. If we part ways, it keeps running.
- Fixed fees per phase, agreed before we start. No hourly billing.
- We'll tell you when the answer isn't AI.
- Named, real results, not just demos: see the case studies
Questions
About working with us.
A single focused system usually takes two to four weeks. A multi-department program takes three to six months, delivered in phases.
There are five: a discovery call, mapping and costing the work, building in small phases, your team approving anything important while each system proves itself, and a handover or a retainer to keep building. If the scope is tight, we skip the mapping and go straight to building.
Most involved at the start, when we map how the work really happens. After that, mainly reviewing and approving what we build, and twice-weekly updates.
On a retainer, we fix it as a priority. Without one, you have 30 days of support after delivery, and we're still reachable after that.
Yes. We work with businesses in the US and the UK.
Book a call. We'll look at how your business runs and tell you honestly whether and where AI would pay off.
